This project was developed for Solar da Levada and Quinta Lago dos Cisnes, iconic event venues in northern Portugal. The initial challenge was to create a simple website for three different spaces, allowing bookings and access to wedding information. The project evolved to digitalize event management, providing an intuitive platform where couples can plan every detail of their weddings online. This solution simplified the process for both organizers and couples, making wedding planning more efficient and enjoyable.

Project Overview
Solar da Levada and Quinta Lago dos Cisnes are two of the most iconic event venues in northern Portugal, renowned for their exceptional services, breathtaking locations, and unforgettable event experiences. These venues are not just spaces; they are destinations that offer a complete package, from mesmerizing decor to top-notch catering and entertainment. The challenge presented to us was to develop a website that could serve these unique venues while enhancing the overall experience for both the event organizers and their clients.
Problem
The initial problem was relatively straightforward: Solar da Levada and Quinta Lago dos Cisnes needed a website that could represent their three distinct venues, including Bamboo and Coconut, a public bar and store. However, the wedding venues required more complex features, such as booking capabilities and a private area for brides and grooms to access essential event information. The bar, in contrast, needed a simpler solution focused on displaying its schedule and menu.
While this initial setup met the immediate needs of the company, it quickly became evident that there was a greater opportunity at hand. With over 300 events hosted annually, the venues were managing a significant volume of details, often using traditional, time-consuming methods like Google Forms and lengthy in-person meetings. This approach was not only inefficient but also prone to errors and miscommunication.
Solution
Our solution involved taking the initial website concept and evolving it into a comprehensive digital platform that could handle the complex demands of wedding planning and event management. We aimed to create a user-friendly, centralized system where couples could plan every aspect of their wedding online, and organizers could manage all the necessary details more effectively.

Private Area for Couples: A secure, personalized space where brides and grooms can access and manage all details related to their wedding, from style and timeline to guest lists and catering options.
Booking and Availability: An intuitive system for booking visits and checking venue availability, streamlining the initial stages of event planning.
Back Office for Organizers: A robust back office that allows event organizers to view and manage all client choices, track supplies, generate statistics, and optimize the entire event management process.
Customized Planning Sections: Multiple sections for wedding style, ceremony details, staff coordination, guest management, and more, all customizable to suit the unique preferences of each couple.
Streamlined Communication: Automatic updates and notifications ensure that both couples and organizers are always on the same page, reducing the need for constant back-and-forth communication.
Process
To develop this solution, we began by thoroughly understanding the pain points faced by both the organizers and the couples. We conducted in-depth consultations with the client to identify the challenges and inefficiencies in their current process. Additionally, we performed our own research to gather insights directly from brides and grooms, focusing on the difficulties they encountered during the planning process.
Key Findings from Research
Complexity: Couples often felt overwhelmed by the sheer number of details that needed to be managed, from selecting a wedding theme to coordinating with multiple suppliers.
Lack of Centralization: Information was scattered across various platforms and formats, making it difficult for couples to keep track of everything and for organizers to stay informed.
Time-Consuming Processes: The traditional methods used for gathering information and making decisions were time-consuming and often required multiple in-person meetings.
With these findings in mind, we moved on to the Information Architecture phase. We organized the extensive content into logical, intuitive categories that would guide users through the planning process seamlessly. This structure ensured that couples could easily find and customize all aspects of their wedding, from the ceremony details to the after-party arrangements.
Design and User Experience
Given the complexity of the content, our design approach focused on simplicity and clarity. We developed a clean, minimalistic user interface (UI) that uses neutral and soft colors, bold highlights, and clean outline icons. This design ensures that the extensive information is presented in a way that is easy to navigate and free from unnecessary distractions.
Implementation
The implementation phase involved building the platform with scalability and ease of use in mind. We integrated the private area, back office, and booking system into a cohesive platform that could handle the high volume of events and user interactions efficiently. We also ensured that the platform was mobile-responsive, allowing users to access and manage their wedding plans from any device.
Results
The final product is a comprehensive digital platform that has transformed the way Solar da Levada and Quinta Lago dos Cisnes manage their events. The new system has streamlined the entire wedding planning process, making it easier for couples to plan their perfect day and for organizers to manage multiple events simultaneously.
